Special collections usually have to work with faculty stuff when they retire. Maybe bring them into tbe conversation

Thanks Betty,

I'm glad the idea was well received (I almost didn't send it because I didn't want to go on the tangent).

I wish I had a bunch of great resources to share, but this is an area I am hoping to grow in as well. ICPSR does have a slew of good resources for the sharing/archiving end of the research lifecycle (example: Guide to Social Science Data Preparation and Archiving<https://www.icpsr.umich.edu/icpsrweb/content/deposit/guide/>).<https://www.icpsr.umich.edu/icpsrweb/content/deposit/guide/>

Looking forward to seeing what others have to share!
David

For those institutions thinking of going away from Box; do you have Labarchives integrated with Box? Has your IT thought this through?

I love this idea David! We touched on it briefly in our discussions and as a data librarian, I’m hoping it makes it into the communication plan.

Has anyone developed good guides or handouts or tips for some of these tasks that our researchers would need to do? Looking to unabashedly borrow for those much wiser than I am….

Hi Betty,

I apologize that this email goes on a tangent rather than addressing your immediate request, but I wonder if this might also be an opportunity to provide outreach on data management best practices for researchers as well.

Data management and storage issues are interrelated, since poorly managed workspaces with old projects (which could be shared in repositories) and massive undeleted temporary data files quickly become storage issues.

It could help with your initial messaging request too because it turns a perceived negative change into an opportunity to clean up and streamline management practices.

Just an idea,

David

Hi all,

Our institution will no longer have unlimited storage on Box. When we rolled out Box we touted it as a great solution to back up data (including research data) and now we find that we must look to other solutions that are not as expensive for storing large datasets.

We (me, CIO, VPR, library dean) are working on messaging that we’ll send to campus about all of this. It’s complicated by the fact that we will still retain Box – but only for certain files (like day to day office files) and for those researchers with HIPAA data and a few other exceptions. The CIO wants to see an environment where Box is only used for “live data” and anything else or any large data that requires back up is moved to another solution.

Have any of you been working on this at your campus? Do you have examples of messages you have sent to your faculty and researchers? Would you share with me so our group can look at them?

Betty
